A Stanford IT Team Built Time-Saving Workflows During an Efficiency Competition

Stanford University’s Computer Resource Consulting (CRC) IT team needed to do more with limited resources and reduce the time spent on manual reporting, appointment tracking, and inventory checks. Using Zapier, they explored ways to automate workflows around Appointlet bookings, Google Sheets, Slack, and Office 365 so staff could stay focused on support work instead of administrative tasks.

Zapier helped Stanford University’s CRC team implement automated workflows that instantly notified the right employee of new appointments, created calendar events, updated spreadsheets, and sent Slack alerts for inventory levels. The results were significant: Brad Immanuel said Zapier saved him from hiring a data integrator, cut several hours per week from data preparation, and saved techs 2–3 minutes per ticket across more than 22,000 tickets a year.
