Heineken optimizes digital personnel file management

Heineken faced a paper-heavy HR document process in which personnel files were physically sent from decentralized departments to the Shared Service Center, where they had to be processed before scanning. Using WoodWing Software’s Xtendis digital archive system, Heineken needed a faster, more secure way to manage, store, and retrieve employee documents, while also improving integration with its SAP HR system.

WoodWing Software implemented Xtendis to enable digital scanning at the source, automatic routing based on metadata, centralized security zones, and a direct link with SAP for creating and accessing employee files. The result was a more user-friendly and significantly faster system, with documents available immediately, improved searchability, centralized authorization, and reduced handling and postage because documents no longer had to be physically sent to HR SSC.
