Quinte Health Care, an integrated system of four hospitals in Ontario employing over 2,000 staff and serving roughly 165,000 people, was struggling with an inefficient manual shift-fill process—faxing, Excel sheets and one-by-one calls—that caused scheduler burnout, missed opportunities to fill shifts, increased overtime and low employee satisfaction. To address this, Quinte Health Care engaged Vocantas and deployed the Automated Shift Fill (ASF) module of the Vocantas Communicate™ platform.

Vocantas’ ASF automated contacting qualified staff via SMS, IVR, email, app or portal, enforced scheduling and union rules, and recommended or automatically awarded shift winners. The result: Quinte Health Care went from about 5 shift callouts to 90 in a day, filled more shifts at straight time (reducing overtime), freed scheduler capacity, improved employee satisfaction and retention, gained real-time workforce visibility, and realized measurable time and cost savings.
