Niagara Health System, a regional Ontario healthcare provider with more than 4,800 employees, faced an inefficient manual shift-fill process: about 20 schedulers were calling roughly 3,800 nursing staff one-by-one to fill open shifts, which led to missed callouts, delays, staff frustration and grievances. To modernize this workflow they chose Vocantas’ Automated Shift Fill (ASF), which already integrated with their Kronos human capital management system.
Vocantas implemented ASF to automate multi-channel callouts (including SMS), let staff bid on shifts within set time windows, and provide custom reporting for managers and the Chief Scheduling Officer. The deployment let the same number of schedulers send far more shift callouts per month, improved fill rates and visibility into attempt/acceptance history, reduced support overhead, and freed up resources to focus on higher-value tasks — delivering measurable time and cost savings for Niagara Health System.
