A Tungsten Automation Case Study
UniCredit Leasing Austria, a leading leasing provider with eight offices and a broad project business, faced a growing mailroom bottleneck: more than 120,000 pieces of incoming mail a year from roughly 180 project companies required extensive manual sorting, copying and filing, and the active contract archive had swollen to about 2.5 kilometers of shelf space. The company needed a way to centralize, speed up and automate document intake and indexing to reduce search effort and manual effort.
Working with RR Donnelley and Scanpoint and using a “scan before process” approach built on Kofax Capture, Transformation and VRS Elite, UniCredit Leasing now scans most mail at intake, automatically classifies documents, extracts key data (including VINs and license plates) and routes items via barcodes into an electronic archive and workflow front end. Converting images to searchable PDF/A enabled full-text search and smaller files, eliminated the need for a daily paper archive, and reduced physical storage from kilometers of shelves to just a few meters while speeding retrieval and processing.
