Toyota Industrial Mfg., Inc. (TIEM) and Toyota Material Handling, U.S.A. (TMHU), supported by Toyota Industries North America (TINA), were burdened by large volumes of paper and electronic documents moving across the organization. TINA’s IT team needed a secure, collaborative document-management process that integrated with SAP and aligned with Toyota’s kaizen-driven focus on continuous improvement.
They implemented Kofax ControlSuite (Equitrac, AutoStore and Output Manager) using existing multifunction devices and AutoCapture workflows to capture, route and attach documents directly into SAP. The solution centralized shipping records, enabled a one‑invoice system for national accounts, streamlined import/export tracking and automated dealer feedback—resulting in about 200,000 scans per year, significantly reduced paper storage, roughly one day/week saved for the export/import administrator, an estimated 90% time reduction for the dealer-inspection process, and improved security and scalability.
