Personnel Concepts, a Brady Corporation company that ships tens of millions of direct-mail order cards annually, relied on manual entry into a legacy Mail Order Manager system. During peak season (December–March) the company had to ramp up to 12 order-entry staff and second shifts, leading to backlogs, overtime, training burdens and errors. In 2008 the Director of Quality Management engaged Portford Solutions to modernize order capture with an automated, scalable solution that could reliably handle peak volumes.
Portford recommended and implemented a customized Kofax Capture and Kofax Transformation solution within four months, meeting requirements for speed (2,500+ orders/day), flexibility, accuracy and ease of use. The new process—batch scanning, validated on a tailored 25-field screen and auto-exported as CSV—enabled same-day processing with no backlog; 1.5 full-time employees now handle peak volume previously requiring 12 staff, improving accuracy, sales responsiveness and customer satisfaction while delivering measurable cost savings.
