An integrated health system managing nearly 2,000 printers and scanners faced frequent device failures, limited driver options, and routine exposure of sensitive patient information left on output trays. With a small IT staff and rising maintenance costs, the organization needed to consolidate aging devices, improve HIPAA-compliant document security, and reduce overall support burden.
Working with an MFP services provider, the system deployed Kofax ControlSuite (AutoStore, Output Manager, Equitrac) to enable secure badge-based print release, centralized print routing, and audit trails. The rollout cut devices from 1,961 to 957, achieved 90% secure print release, saved about $55K/year on prescription paper and roughly $500K/year overall, eliminated PHI exposure from unattended printouts, and drove increased e-prescribing; next steps include AutoStore-driven capture and automated workflows for faster HIM processing.
