Hertz Australia Drives Accounting Efficiency with New Data Capture System

Hertz Australia, the country’s largest car rental network, was overwhelmed by paper-based accounting: accounts payable and fleet accounting teams processed thousands of invoices and onboarding documents manually (about 5,000 invoices a month and ~50,000 vehicle documents a year), ran out of storage, duplicated spreadsheet work, and faced high error rates despite using Oracle Financials.

Hertz implemented Kofax Capture and Kofax Transformation with Microsoft SharePoint (delivered by Data Capture Experts) to automate document capture, classification, data extraction and integration with Oracle. The solution went live in late 2012 and delivered fast results: about $70,000 saved in the first 10 months, accounts payable saved $40,000 in year one, ongoing fleet savings of roughly $30,000 a year, capacity rose from 200 to 800 invoices/day, manual validation fell to ~3 hours/day freeing two staff, error rates dropped and staff productivity, morale and cross-office collaboration improved.
