Fleet Support Group Automates Invoices and Realizes Dramatic Savings on Cost and Labor

Fleet Support Group, one of the UK’s largest independent vehicle management companies, was processing around 120,000 paper invoices a year through a slow, manual system that tied up night and weekend staff and risked lost or misplaced documents. The accounting team needed a faster, auditable way to capture, track and match invoices with minimal administrative effort.

In June 2011 Fleet engaged Data Capture Solutions to deploy an on‑premise Kofax solution (with Kodak i4200 scanning and Lexmark customisations) integrated with its ERP and SharePoint for automated capture, classification, validation and workflow routing of invoices and credit notes. The system posts matched invoices straight to the ERP and routes exceptions to approvers, saving about nine staff hours per day, cutting invoice‑chasing by ~50%, reducing disputes and manual errors, and enabling staff to be redeployed to higher‑value tasks.
