Exmoor National Park Authority, which manages a historic 267‑square‑mile park in southwest England, faced an inefficient, error‑prone correspondence process: 30–40 items of mail weekly were tracked on a clumsy spreadsheet, documents and pages were sometimes lost, and administrative staff had to chase colleagues for updates. The authority wanted a cost‑effective way to get documents into SharePoint quickly and remove the human burden of tracking responses.
Working with Open Connections, Exmoor deployed Kofax Express as a SharePoint connector to scan, index and deliver documents—using Fujitsu scanners and VRS to improve legibility—into an automated SharePoint workflow. The solution was implemented in under a week with minimal training (about 15 minutes), and now incoming mail is scanned, emailed as PDF links to responsible staff, tracked as tasks with automatic reminders and manager escalation. The result: faster, more accurate correspondence handling, no more chasing, and noticeably happier staff.
