BAR Gemeenten, the municipal services organization for Barendrecht, Albrandswaard and Ridderkerk (serving about 125,000 residents), faced a sudden surge of TOZO emergency-funding applications from freelance workers during the COVID-19 crisis. With a small back-office team and document-heavy applications (ID, trade registration and bank statements), the municipality needed to validate and pay thousands of claims quickly to get funds to citizens in need.
Working with BMconsultants, BAR Gemeenten deployed Kofax RPA and Mailroom Automation to validate documents, confirm residency, populate the social case-management system, trigger payments and archive confirmations. The automated workflow cut processing time from roughly two hours to four minutes per application (a 96% time saving), has processed more than 1,900 applications to date, freed staff to focus on complex cases and is enabling plans to automate additional services.
