Automating the creation and deletion of hundreds of user accounts each semester with UMRA

Fitchburg State University, a public university of more than 6,500 students and 520 employees, struggled with error-prone account provisioning and cleanup—most notably accidental deletion of active accounts and lack of integration between Active Directory and the student information system. To solve this, the university selected Tools4ever and its User Management Resource Administrator (UMRA) product to automate account lifecycle actions.

Tools4ever implemented UMRA to query Banner, Active Directory and other systems, automatically create student and employee accounts, apply conditional disables/deletions (including an 18-month purge rule), and send notifications to stakeholders. The automated process cut time spent on account management by 75%, greatly reduced errors in account creation and purging, and enabled faster, more secure handling of terminated or graduated users.
