Graduate Women in Science, an international nonprofit that connects, mentors, and supports women in science, ran a growing National Fellowship Program staffed entirely by volunteers. By the time submissions reached about 200, the manual process of matching applications with separately submitted reference letters, assigning reviewers, creating Google Drive folders, and consolidating scores in Excel became unsustainable and error‑prone. They engaged Submittable to streamline their application and review workflow.

Submittable implemented an application management portal that provides multi‑stage online applications, automated reference requests with personalized upload links, status notifications, automated reviewer assignment, and consolidated scoring and feedback delivery. These automations eliminated manual copy‑and‑paste work, saved volunteers hours, enabled the organization to manage more than 800 reviews in a year, reduced errors, and gave Graduate Women in Science the scalability and continuity needed to keep expanding.
