Implementing Digital-First Forms to Improve Safety and Drive Efficiencies

Wannon Water, Australia’s second largest regional urban water corporation serving 42,000 customers, faced inefficiencies and safety/compliance risks from paper-based processes—most critically for Job Safety Analysis (JSA), a mandatory risk assessment with roughly 300 submissions per month. The JSA process required up to eleven different paper forms depending on the job, causing incomplete or lost forms, version-control issues, manual re-entry and no live data for analysis. To address this, Wannon Water engaged Smart Communications, using its SmartIQ forms transformation capabilities.

Smart Communications implemented end-to-end digitization with SmartIQ adaptive digital forms, automated workflows and standardized pick‑lists, enabling mobile completion and real‑time data access. The solution consolidated up to eleven JSA forms into a single intuitive form, eliminated paper handling and manual scanning, improved data quality and completion rates, and unlocked analytics to target training. As a result, Wannon Water saw measurable process simplification (≈300 JSAs/month handled digitally; JSA reduced from eleven forms to one), better safety and compliance reporting, and redeployment of staff previously tied to manual form processing.
