The University of Massachusetts—a five‑campus public system serving over 73,000 students and managing $813M in research funding—faced fragmented, manual travel and expense processes across campuses: four separate systems, monthly bank‑card reconciliations, inconsistent policies, limited real‑time spend visibility, low adoption of financial benefits, and an unsustainable administrative burden.

UMass selected SAP Concur (Request, Travel, Expense) and partnered with Peloton and Supply Chain Partner to integrate the platform with PeopleSoft via Concur’s Financial Integration Service API, using a phased pilot, stakeholder-driven change management, and extended hyper care. The rollout cut reimbursement time to 14 days, eliminated over 2,000 monthly bank‑card reports, increased card usage, improved spend visibility and controls, strengthened vendor negotiation leverage, and boosted user satisfaction.
