A SAP Concur Case Study
Penn State University, a large public research institution with 33,545 faculty and staff, faced a fragmented, paper-heavy travel and expense process that lacked reporting, receipt capture, and scalable controls for its growing P‑card program. Having been an early SAP Concur customer since 2006, the university needed a modern, end-to-end solution when it upgraded its ERP to SAP S/4HANA and outgrew the custom fields in its legacy Concur instance.
Working with SAP Concur and Huron, Penn State deployed a new Concur instance using Concur Expense, Travel, Request, TripLink and Intelligence to automate P‑card issuance, centralize receipts, and integrate spend data with S/4HANA. The project reduced expense types from 1,000 to 200, automated management for 9,000–10,000 P‑cards, eliminated central receipt scanning (freeing one FTE), delivered near‑real‑time spend visibility across 240,000 annual reports, improved system performance and scalability, and went live successfully during the pandemic.
