Plymouth Rock Assurance, a Boston-based property and casualty insurer with about 2,000 employees, faced a cumbersome, paper-based expense reimbursement process that relied on Excel forms, stapled receipts and manual routing. The workflow created bottlenecks for a small Accounts Payable team processing roughly 550–650 requests per month, limited visibility into spend and led to audit discrepancies.

The company deployed SAP Concur (Expense, ExpenseIt, ExpensePay and Intelligence), paired with in-person training to drive adoption. The new mobile, receipt-capture and policy-exception features cut average submission time to under five minutes, improved self-auditing and real-time visibility, consolidated the corporate card program, and enabled the AP team to handle growing volume with the same headcount—while user satisfaction climbed to about 95% rating 4–5/5.
