Hospital Corporation of America (HCA), one of the world’s largest hospital systems, struggled with decentralized, paper-based travel and expense processes across thousands of locations and multiple payment centers. The lack of a single system left leaders without visibility into employee bookings or spend—and after 9/11 the company recognized the need for better duty-of-care tracking and faster reimbursements for its tens of thousands of traveling staff.

HCA implemented SAP Concur (Concur Expense, Expense Pay and supporting services), centralized expense processing and integrated with Lawson to create an end-to-end workflow for booking, reporting and payment. The result: streamlined, electronic reporting with pre-populated card data, consolidated processing (four processors handling ~190,000 reports annually for 40,000 users), reimbursement turnaround cut from weeks to typically 1–2 days (up to five days max), and real-time visibility for spend reporting and emergency duty-of-care.
