Going Paperless at KIPP Bay Area Schools Gives the Accounting Team Capacity for Growth

KIPP Bay Area Schools, a network of tuition‑free public charter schools serving over 5,200 students across the Bay Area, faced a major scaling challenge: its accounts payable, corporate card, vendor invoice and expense reimbursement processes were entirely paper‑based, manual, error‑prone and time‑consuming. With plans to grow from a handful of schools to 20, the accounting team was concerned it would not have the capacity or transparency needed to support that expansion.

KIPP implemented SAP Concur Expense and Invoice, using mobile tools like ExpenseIt, electronic approvals and ACH reimbursements, plus focused training for school staff. The move to a paperless, automated process sped reimbursements, reduced errors, simplified audits, boosted AP productivity and created capacity for growth—delivering ROI roughly equivalent to one accounting hire while helping avoid future FTE additions as the network expands.
