World Masters Games engaged Rosterfy as their volunteer scheduling platform from mid‑2016 through the April 2017 Games to manage a large, complex workforce: 3,200 volunteers across 48 venues, roughly 100 distinct volunteer roles covering 28 sports. The challenge was to convert online application data into role offers, coordinate all training and shifts, and maintain clear, consistent communications for a major multi‑venue event.

Rosterfy provided end‑to‑end volunteer management—importing applicant data, issuing role offers, scheduling approximately 23,000 training sessions and shifts, and centralizing reporting and email communications. Built‑in features like confirm/decline buttons, templated messages and dashboard views made the system easy for seven administrators and thousands of volunteers to use, enabling efficient scheduling and traceable communications and contributing directly to a successful World Masters Games.
