The University of Toledo College of Nursing was struggling with fragmented, outdated information that made it difficult to analyze data and manage accreditation needs: contract renewals for clinical sites were laborious to track, preceptor credentialing relied on paper forms that produced scattered and incomplete records, and the college lacked a reliable way to track which clinical sites and preceptors students visited during their programs.
The college implemented two linked Qualtrics panels and surveys—one to manage clinical-site contracts and affiliated preceptors in real time, and another to collect and retain student records and placement data—forcing complete responses and enabling simple follow-up updates. The system centralized tracking and analysis, saved significant staff time and costs, ensured all site agreements were current, produced 100% complete preceptor data, and delivered actionable student feedback to preceptors and hospitals to improve the clinical education experience.
