The National University of Colombia in MedellĂ­n, a major higher-education institution with multiple campuses and tens of thousands of students, faced inefficiencies in its Human Resources division: roughly 20 requests per day were processed with paper, Word files and spreadsheets across five offices and 30+ staff, causing lost documents, slow response times, security risks, unclear productivity metrics and frequent complaints from faculty and staff.

Implemented by LandSoft, the university deployed ProcessMaker (integrated with KnowledgeTree) to automate Request Management, New Employee Hiring and Onboarding. The solution centralized requests and documents, provided real-time status and assignment visibility, enforced secure logins and audit trails, and supported an initial 30 users handling about 500 cases per month—resulting in better control, stronger information integrity and faster, more transparent service.
