University of Sussex achieves end-to-end Source-to-Contract efficiency gains as part of digital transformation

The University of Sussex, a research‑intensive university with about 2,100 staff, ~3,500 suppliers and ~40,000 invoices processed per year, faced fragmented, manual Source-to-Contract processes (paper forms, spreadsheets and an unconnected eTendering tool). To modernize procurement, remove manual data entry and gain better spend visibility, the University partnered with Proactis, building on its existing Proactis Marketplace and adopting Proactis Source-to-Contract, eProcurement and Invoice Capture solutions.

Proactis implemented an end-to-end Source-to-Contract platform integrated with the University’s finance system and deployed Invoice Capture to digitize invoicing, automating supplier onboarding, contract and supplier relationship management, and three-way matching. The result: measurable efficiency gains and cost savings (buyers channelled to negotiated suppliers), improved quality of PO–GRN–invoice matches, easier supplier self‑service for ~3,500 suppliers, faster processing of ~40,000 invoices p.a., and full remote access to procurement and invoicing during COVID-19.
