A Proactis Case Study
Trident Housing Association, a Midlands social housing provider managing around 3,000 homes and processing roughly 10,000 invoices a year, struggled with a largely manual procurement process: paper requisitions were lost or bypassed, purchases were often made by phone or email with no formal record, and managers had little visibility of commitments or budget control. To address these issues Trident selected the Proactis purchasing solution (implemented with partner Touchstone) to replace paper-based requisitions and introduce a formal purchase-to-pay process.
Proactis was rolled out across head office and all property locations and integrated with Trident’s SunSystems ledgers and Genero property system, automating purchase requests, approval routing and three-way invoice matching. About 100 regular users now manage nearly 100% of purchases electronically, giving managers real-time visibility of commitments, a complete audit trail and standard spend reporting; Accounts Payable workload has been significantly reduced and staff reallocated to other activities—measurable benefits attributed to the Proactis solution.
