A Proactis Case Study
The Medical Protection Society, a global provider of professional indemnity to doctors, dentists and health professionals, was struggling with a paper-based accounts payable process that handled around 40,000 invoices a year (85% linked to member case costs and lacking purchase orders). Invoices were routed outside Finance for manual sign-off, creating long lead times, poor visibility of commitments, frequent supplier queries and a complex, time-consuming authorisation workflow. To address this, MPS selected Proactis’ purchasing and invoice automation solution.
Proactis implemented a configured purchasing solution that imports supplier data (including unique case identifiers), auto-codes lines to cases, routes invoices via built-in authorisation workflows with email alerts and allows remote approval or scanned-paper upload for non-electronic suppliers. As a result Proactis cut manual input by about 7,000 invoices per year, improved AP visibility and control, reduced coding errors and duplicate payments, sped supplier payments, and freed Accounts Payable to focus on higher-value work.
