Frisian Water Board automates the entire ordering to payment process with Proactis

Wetterskip Fryslân (The Frisian Water Board), a utilities organization of 634 employees responsible for dikes, pumping stations and wastewater treatment, needed to standardize and digitize procurement, establish an audit trail for all expenditure and gain better control of procurement flows after many decentralized, unapproved purchases. They selected Proactis as a best‑of‑breed Purchase‑to‑Pay platform that could integrate with their existing financial system and replace ad‑hoc ordering practices.

Proactis delivered a phased rollout with catalog‑based ordering, authorization workflows and automated matching of orders, deliveries and invoices, linked to the Water Board’s finance system. The new solution reduced the number of people placing orders from more than 180 to about 35, centrally records over 300 contracts, and processes roughly 10,000 orders and 20,000 invoices annually (about 30% scanned/recognized). Proactis has provided clearer audit trails, faster approvals, better budget control, lower processing costs and helped reclaim supplier overcharges.
