A Proactis Case Study
Equity Insurance Group, a large UK insurance group operating across branches, affinity partners and online channels, faced procurement and expenses challenges after rapid growth. The Group needed to centralise purchasing, replace a paper-based staff expenses process, enforce pre-approval of spend and integrate with its existing SunSystems finance system. After a review, the Group selected Proactis’ procurement solution (including reporting and invoicing modules), DocLink 4 document imaging and the Proactis Expenses module to address these gaps.
Proactis implemented a staged rollout across offices and branches, training key users and deploying the expenses module to over 600 employees and the procurement system to more than 500 users. The solution enforced approval before purchase, replaced paper invoices with DocLink 4 images, gave full supplier visibility and reduced core suppliers, enabling better rates. As a result, Equity Insurance Group achieved significantly improved financial control, 50% faster processing of employee expenses, clearer audit trails and measurable cost savings and productivity gains thanks to Proactis.
