Nuneaton & Bedworth Council, which procures around £20m of goods and services annually, faced a paper-driven, fragmented purchase-to-pay process that cost about £35 per transaction, required 6–7 staff to process 44,000 invoices a year, and suffered from low purchase-order compliance. Seeking a single, council-wide solution that included eInvoicing and easy-to-use software, the council selected Proactis to deliver the transformation.
Proactis implemented a purchase-to-pay solution called E‑Buy (integrated with UNIT4 Agresso) and onboarded suppliers using three eInvoicing routes (XML 6%, portal “flip” 35%, OCR 59%). The change cut invoices received to 33,000, electronically processes 80% of eligible invoices (7,019), reduced transaction costs by 80% (from £35 to £7, with OCR invoices costing under £1), reduced staffing to 2.5 FTE, sped supplier payments and regularly prevents over-payments — demonstrating clear, measurable savings delivered by Proactis.
