Bedford Borough Council, a unitary authority processing over 42,000 invoices per year, needed to reduce costs, free up accounts payable time and gain full visibility of incoming invoices after manual processes left invoice-to-approval times around 72 hours. To solve this, the Council engaged Proactis and adopted Proactis Invoice Capture.

Proactis implemented Invoice Capture with seamless integration to the Council’s Unit4 finance system, standardising invoice handling, adding a dedicated supplier query desk and providing a full audit trail. As a result, Proactis helped reduce average invoice processing time from about 72 hours to under 24 hours, achieved the Council’s cost‑cutting targets, cut the number of non‑compliant invoices and freed AP capacity (reducing FTEs on the AP team).
