University of Western Australia Creates Offer Letters 6x Faster with Oracle PaaS

The University of Western Australia needed a faster, more accurate way to create complex offer letters. Its admissions team was manually editing more than 25 letter templates and 14 student data fields in Word, then uploading letters to a portal or sending them by email, which made the process slow and error-prone. The university used Oracle Service Cloud with Oracle Integration Cloud Service and Oracle Policy Automation to connect data across systems.

Oracle Service Cloud helped UWA automate offer letter generation, with Oracle Integration Cloud Service linking admissions, Callista, and GRM systems. The university said each offer letter was processed 6x faster, from 30 minutes to 5 minutes, and staff capacity increased by 20%. The new setup also helped reduce legal risk, let new staff produce letters without special training, and supported future expansion to other services.
