How Foolproof tore down information siloes — and reclaimed £500,000 a year in saved time

Foolproof, a Zensar company and digital product/design firm, was struggling with rapid growth and a sudden shift to remote work, which left information scattered across tools like email, Box, Confluence, and Miro. As a result, employees had trouble finding processes, past work, and the right people to ask for help.

Foolproof implemented Notion as a company-wide knowledge management system, using it to centralize information in wikis, databases, team homepages, and project hubs. With Notion, the company cut the time to find nine pieces of information from 26 minutes to 5, improved transparency and collaboration, and estimated £454,000 in annual time savings, with overall reclaimed time cited at about £500,000 a year.
