A national archives authority in the Middle East, together with 17 government agencies, needed to modernize and digitize its records management to meet strict compliance and retention rules. The organization faced complex data migration and metadata-tagging needs, the challenge of managing both electronic and physical records, weak information security, limited visibility and control over document routing, and the need to update metadata and retention schedules across agencies.
Partnering with Newgen, the authority deployed Newgen’s certified EDRMS suite (document, records and correspondence management) on a cloud, multitenant architecture to provide a centralized, role-based repository. Automated BPM-driven workflows, e-signature with PKI, Arabic/Unicode support, physical-record tracking and automated disposition enabled end-to-end lifecycle management. The rollout delivered stronger compliance and security, 360° process visibility, easier access via a user-friendly interface, and higher operational efficiency across all participating ministries.
