North Carolina Department of Public Safety, Implemented Newgen Enterprise Content Management for Management of Inmate Records

The North Carolina Department of Public Safety (NCDPS), responsible for offender supervision and public safety across the state, was overwhelmed by roughly 40,000 paper inmate files that were slow to locate, frequently backlogged and vulnerable to loss or disaster. The department needed a secure, scalable system to provide anytime/anywhere access and efficiently manage large volumes of records.

NCDPS implemented Newgen’s EDMS (OmniSuite) as a centralized electronic records repository to scan, index, store and retrieve inmate documents, integrating with the NCID identity portal and the Opus inmate database. The initial Combined Records rollout—and an ongoing statewide expansion to 30,000+ users—delivered faster retrieval and reduced turnaround on parole and inmate record requests, eliminated lost/misfiles, cut paper-handling costs, improved file integrity and disaster protection, and saved staff significant processing time with minimal training.
