UN Architecture, a Montreal-based architectural firm, needed a better way to manage email filing as remote working exposed the limits of its manual process. The team was extracting emails from Outlook to a network-attached storage (NAS) server by hand, which was time-consuming, inconsistent, and made it difficult to keep project communication complete and searchable.

UN Architecture implemented Mail Manager, an Ideagen solution, to integrate email filing directly with its NAS-based project structure. With Mail Manager, the firm indexed around 249,000 emails and now processes 200 to 400 emails a day, while giving staff fast shared search access to client and project correspondence. The result was a much more efficient filing process, quicker recovery of historical emails, and reduced search time from days to hours.
