Ward & Burke, a leading Design & Build Operate company in Ireland, needed a better way to manage email records across long-running engineering projects that can last 10+ years. With more than 1,000 employees spread across sites in Ireland, the UK, and North America, the team struggled with manually filing emails and retrieving older project-related messages when needed. They turned to Mail Manager, an Ideagen solution, to improve email filing and searchability alongside their Microsoft 365 and SharePoint Online environment.

Mail Manager implemented a pilot, used AI-based project suggestions to help users file emails more easily, and rolled out smoothly to full production after positive feedback. Ward & Burke now has 200 users in the UK and Ireland who have filed over 52,000 emails—more than 2,000 emails per week—while also reducing help desk issues and making project email retrieval much faster and easier.
