Cole Engineering Group Ltd., a Canadian consulting engineering firm, needed a better way to manage project emails across teams. Working with Mail Manager, they struggled with emails being stored in individual Outlook inboxes and public folders, which made information hard to find, limited shared access, and raised concerns about e-discovery and handling sensitive project data.

Mail Manager, the Outlook add-in from Ideagen, was piloted with Project Managers and then rolled out across Cole Engineering’s existing infrastructure to 250 staff. The solution centralized filing and searching of project emails, improved consistency, reduced time spent searching and on administration, and helped teams access over 2 million filed emails; Cole Engineering also reported that Mail Manager paid for itself within a few months through time savings and efficiency gains.
