Newsec, founded in 1994 and the largest specialized commercial property firm in Northern Europe, manages more than 1,000 commercial properties from its Finland office across five business units. The company relied on internal network folders, which made it time-consuming to find current document versions, hindered review and approval processes, and made controlling access to sensitive contracts and tenant information difficult.

In 2009 Newsec rolled out M-Files across its 200-person Finland office to centralize documents and model customers, properties, contracts and processes. M-Files provided project and resource tracking, workflow-driven reviews and automatic notifications for lease actions, permission-controlled vaults for partners like Pohjola, and easy export of property data—resulting in faster access to information, clearer workload visibility, streamlined approvals and improved partner reporting.
