A M-Files Case Study
TK Elevator, a global leader in elevators and escalators, faced a costly, paper-heavy process for managing the roughly 700 documents involved in each elevator project. Reliance on physical "red folders," email attachments and deep, inconsistent network folders made document discovery slow, caused version-control issues, and required monthly shipping to 100+ branches that cost about $25,000 — creating delays, lost time and poor job visibility.
TK Elevator implemented M-Files to add metadata-driven filing, standardized naming and automated workflows (for drawing containers, requests, submittals and RFIs), plus trackers for task status and deadlines. The result: documents retrievable in seconds, elimination of 13 physical handoffs, greater project transparency, and significant savings — managing nearly one million documents for 500+ users while saving the equivalent of 900 trees and about $1.5 million (and cutting the $25K/month shipping burden).
