Plan International Deutschland e.V., an international children’s charity managing hundreds of thousands of sponsorships, needed a long-term, organization-wide approach to handle massive volumes of documents across 12 departments. The key challenges were automating routine tasks, ensuring transparency and GDPR-compliant data protection, and enabling flexible but centrally administered processes so administrative costs stayed low and donations benefited children.

Plan International selected M‑Files with implementation partner Electric Paper (EPI) to standardize document storage and workflows. Core results include a digitized accounts-payable workflow (with ChronoScan) integrated to accounting/DATEV, a donor-facing “My Plan” portal fed by M‑Files, over 1 million documents and images managed, 300+ daily users and 100+ projects documented annually. The solution delivered faster approvals, clearer status transparency, strong access controls for audits and GDPR, broad user acceptance, and a foundation to automate more processes.
