eQ Asset Management Ltd, part of Finland’s eQ Plc group, manages collective real estate funds with more than 200 properties and thousands of documents per asset. With many internal and external stakeholders accessing the same files, the company struggled with paper-heavy archives, fragmentation, poor version control and slow access—problems that complicated property maintenance and transactions.

In 2019 eQ implemented M-Files’ metadata-driven document management platform, centralizing all property documents, adding automated workflows and integrated e-signatures, and linking to Power BI for dynamic reporting (updated every two hours). The change gave hundreds of users fast, up-to-date access, reduced duplicates, streamlined reporting and sharing, and materially improved operational efficiency and transaction readiness.
