Arctic Invent is a Singapore-based team of patent engineers and attorneys that helps SMBs with IPR filing. As a distributed, lean operation they struggled with a chaotic support@ inbox — emails weren’t assignable, tasks and ownership were unclear, and the whole team lacked visibility into who was working on what. To fix this they implemented Hiver on their Gmail accounts.
Hiver introduced a shared mailbox, one-click assignment of emails as tasks, a Gmail sidebar to track assigned and pending items, Email Notes with @mentions for internal communication, and Collision Alerts to avoid duplicate responses. As a result, Arctic Invent gained clear ownership and real-time visibility, improved response coordination, and increased team efficiency by more than 20% while significantly reducing error rates.
