Speeding up processes with digital personnel files

SERIS, the leading French independent security group, needed to replace a paper-based personnel-file process spanning 45 sites and roughly 9,000 employees (with about 2,000 hires per year) to reduce lost paperwork, improve compliance with labor and security rules, and gain transparency and metrics. They chose Ephesoft — using Ephesoft Transact / Smart Capture — as part of a digitalization project to extract metadata and automate sorting and validation of diverse HR documents.

Ephesoft implemented a supervised machine-learning capture platform integrated with Nuxeo, using Ricoh scanners and a browser-based validation interface; the system was rolled out to all 45 locations within two months. Ephesoft’s solution enabled the digitalization of more than 10,000 employee files in a few months, delivered easy access and transfer of personnel files, provided metrics for data integrity and compliance, and gave SERIS a competitive advantage as the first security company to introduce digital personnel files.
