RC Mclean & Associates, a Southern California healthcare billing and management firm serving anesthesiologists and other specialists, faced a costly manual data-entry bottleneck processing several thousand claim packets per month (peaking at ~800 packets/day). To go paperless and reduce labor-intensive work, they engaged Ephesoft and its Ephesoft Transact document capture platform, delivered and configured by Ephesoft’s Professional Services team.

Ephesoft implemented an automated capture workflow—monitoring incoming files via watch folders and email, classifying nine document types (with 15 variations), extracting 23 index fields from facesheets, using a fuzzy lookup and custom scripts, and exporting XML/TIFF to OnBase for validation and storage. The Ephesoft solution cut processing time by ~50%, reduced labor costs by ~50%, eliminated much manual searching and filing, allowed reallocation of staff (some FTEs converted to part‑time), and requires only limited supervision for exception review.
