IONIT, an Ephesoft UK solutions provider that delivers consultancy and software solutions, was asked to address a global subsea manufacturer's fragmented document management and high-volume manual invoice processing. Departments worked in silos, SharePoint adoption was low, and finance was unable to cope with large numbers of invoices—leading to misplaced, duplicated or late payments and no single source of truth for project documents.
IONIT implemented Ephesoft Transact Smart Capture to automate classification, separation and OCR extraction and feed data directly into SharePoint workflows. Ephesoft’s solution extracts 23 invoice data fields, supports remote scanning/import of TIFF/PDF files and routes documents for approval; as a result throughput grew from ~15,000 to 21,000 invoices in the first year with no issues, invoice processing accuracy improved by 33%, onboarding and approvals sped up, AP visibility and forecasting improved, photocopying/storage dropped, and about 250 employees now use the Ephesoft-enabled system.
