Newark Group’s Videcart S.A. in Spain (Pamplona and San Andres) is a cardboard and paper producer with a strong recycling focus (about 97% recycled input at Videcart, 93% at San Andres). The company struggled with inefficient, paper-heavy administrative processes—tons of invoices, delivery slips and handwritten production notes, one staff member managing a central paper archive, frequent misfiling and lost documents, and slow, error-prone exchanges between sites.

To fix this they implemented a staged DocuWare document management solution integrated with their MAPPER ERP (begun 2002, upgraded 2008, expanded to order processing and production in 2009) to digitize, index and automate workflows for invoices, delivery slips, orders and production notes. The system now archives about 40,000 documents a year, delivers faster, more transparent processing, lowers storage and paper costs, improves security and auditability, and has enabled further digitization plans.
