Rotonda Group, a Spanish holding of about 70 companies and 500 employees operating casinos and betting halls (brands like Magna and Emotiva.net) as well as renewable energies and other sectors, faced heavy paper-based accounting and HR processes. The group handled roughly 120,000 delivery bills and 45,000 supplier invoices a year, relied on monthly courier transfers to headquarters, maintained some 70 parallel file cabinets, and suffered delays, inconsistencies and time-consuming manual retyping.
Rotonda implemented the DocuWare cloud document management system with decentralized branch scanners, automatic mailbox monitoring, indexing and linking of invoices to delivery bills, and integration with its ERP plus digital HR onboarding with e-signatures. The DMS cut invoice processing from two full working days per week to about two hours, eliminated much paper handling, improved approval accuracy, freed staff for controlling and growth tasks, and proved cost-effective over the long term.
