The Providence Center is a regional mental health and substance‑use treatment provider serving more than 11,000 clients across multiple sites in Rhode Island and southeastern Massachusetts. The organization struggled with paper medical records that were only accessible during business hours, required advance requests and physical delivery, and were frequently missing or misfiled; although it had electronic forms, completed records were still printed and stored on paper, hindering timely, around‑the‑clock clinical care.

Working with an Authorized DocuWare partner, The Providence Center implemented DocuWare as its electronic document repository and integrated it with existing E‑Docs and client databases using the DocuWare SDK. The point‑forward rollout, automatic indexing, barcode-assisted manual indexing and selective historical scanning gave 350+ clinicians secure 24/7 web access to complete electronic records, improved record quality and auditing, helped meet HIPAA requirements, and cut daily paper record requests from about 1,200 to 200 within six months.
