Swiftair, a Madrid-based airline with about 100 aircraft and 1,600 employees, faced growing document-management challenges: a hybrid paper/electronic archive, scanned files and Excel lists emailed between departments and external auditors, limited searchability and traceability, and strict aviation retention and audit requirements (10+ years). These inefficiencies affected maintenance, flight operations, HR, finance and accounting (around 200 invoices/day) and made a comprehensive digitization strategy necessary.
The company deployed DocuWare (cloud & on‑premises) integrated with its eMRO fleet system to centralize document folders, automate workflows, and give external auditors secure, click-to-access review via electronic checklists that auto-generate final reports. Used by 150 employees, the solution sped up processes, improved transparency and audit control, reduced manual work and data-loss risk, and helped Swiftair earn the Digital Leaders Award.
