Smile Train is the world’s largest cleft-focused non-profit, supporting over 1.5 million children through local medical partners worldwide. As the organization grew, so did its administrative load: thousands of invoices and over 5,200 vendor agreements across 150 users strained a paper-based accounts-payable process that slowed approvals and visibility.
Smile Train implemented DocuWare on-premises to digitize invoices, contracts and approvals, using Intelligent Indexing to auto-populate most invoice fields when documents are dropped into a folder. The result: faster approvals and clearer audit trails—more than 31,000 invoices and 5,200 vendor agreements processed through DocuWare—letting Finance focus on priorities and reducing indexing time to under a minute.
